Security Clearance Checks
Calgary Minor Softball Association requires all team officials listed on the player rosters, to have a current and valid security check completed, to ensure the safest possible environment for our minor players.
Please note that you must first request a volunteer letter from either your District or Calgary Minor Softball before applying.
THE PROCESS
Security Clearances are valid for three years from date of issue. All applications are now done online www.policeinformationcheck.calgarypolice.ca , and once cleared, are able to volunteer as a coach, assistant coach, and/or team manager for a period of three years. All Team Officials listed on a Calgary Minor Softball team roster Coaches, Managers, Assistant coaches, U10-U19 require a current and valid security clearance.
If you reside outside Calgary you must obtain a security clearance from the RCMP agency in the jurisdiction where you live.
When completing the online application you must supply two pieces of identification from the following lists (at least one must be photo ID): Scan/copy/photo of 2 pieces of ID into 2 separate documents and save it somewhere that you can upload it from. Each ID is uploaded separately, so it must be separate files. You will need to know your Social Insurance Number.

· Permanent Residency Card
· Birth Certificate
· Health Care Card
· Immigration Document
· Marriage Certificate
· Social Insurance Card
Only the above identification is acceptable. There are no exceptions (no college identification, no credit cards, no hospital cards, no police identification, etc.).
Once the Consent to Search and Disclosure of Personal Information form has been completed, then the individual will be considered in process and eligible to act as Team Official.
- Ensure that you have registered with one of the Softball Districts
- You must then request a volunteer letter from Calgary Minor Softball to apply for an e-PIC. If you do not have a letter from Calgary Minor Softball stating that you are volunteering, you will be unable to apply for an e-PIC.
- You will need two pieces of government issued ID to attach
- Please visit https://policeinformationcheck.calgarypolice.ca/. This link will provide step-by-step instructions on how to create a profile and complete the application with CPS.
- Once you have received notification from the CPS that your application has been processed and completed, you must ‘share’ this information with Calgary Minor Softball through CPS’ online system. Calgary Minor Softball does not receive this information from CPS therefore it is extremely important that you notify Calgary Minor Softball that you have received your results.
- If additional information is requested from CPS, the e-PIC will be considered incomplete until the required action has been taken. If you are required to provide additional information, please provide your CPS appointment time to Kathy Worthington to ensure that you can continue to coach while the process is being completed fastpitch@calgaryminorsoftball.com . Once the results are received, this information must also be provided to Calgary Minor Softball.
